Automation KPI Scorecard
A scorecard for measuring cycle time, escalation frequency, and approval turnaround across legal workflows.
A handful of well-chosen metrics, reviewed regularly, tends to reveal more about where a workflow is struggling than a large dashboard no one has time to interpret. This scorecard sets out the core metrics worth tracking, how to calculate each one, and what a healthy result generally looks like.
How to Use This Scorecard
Apply these metrics per matter type rather than as a single blended figure across the whole department — a blended average tends to hide exactly the bottlenecks you're trying to find. Review the scorecard on a recurring schedule, and use shifts over time as the signal, not any single data point in isolation.
The Core Scorecard
| Metric | What It Measures | What Good Looks Like |
|---|---|---|
| Cycle time | Total time from intake to resolution for a matter type. | Consistent and predictable, with few significant outliers. |
| Time per step | How long each individual stage takes within the overall process. | No single step dominates total cycle time disproportionately. |
| Approval turnaround | Time between an approval request and a decision. | Turnaround falls within the timeframe defined in the process path. |
| Escalation frequency | How often matters of a given type require escalation. | Low and stable — rising frequency signals a process or capacity issue. |
| Notification response rate | How often the first notification prompts action, versus requiring escalation. | High — most steps move after the first reminder, not the second or third. |
| Volume by matter type | How demand is distributed across different kinds of requests. | Matches where process design and template investment is concentrated. |
Reading the Scorecard Over Time
Watch Trends, Not Snapshots
A single measurement period tells you little. A consistent rise or fall over several periods tells you whether something is actually changing.
Compare Like to Like
Compare cycle time within the same matter type over time, not across fundamentally different types of work.
Let Metrics Prioritize, Not Judge
Use the scorecard to decide where to invest in process improvement — not to evaluate individual performance.

A scorecard doesn't fix a workflow. It tells you, with evidence instead of impression, exactly where to focus next.
